CGS One App Privacy Notice

CGS One App is Carelon Global Solutions' internal app for associates. This notice explains what personal information the app uses, why, who can see it, how long it is kept, and how to ask about it.
Information the app uses
From Workday, provided by HR:
- Your name, Domain ID, employee ID and work email
- Your position, group, tower, cost center, manager and work location
- Your hire date, employment status and separation dates
- Your gender, personal email, personal and business mobile numbers, and home address
Information you enter in the app's modules, such as travel requests and documents, business continuity status updates, reservations, event check-ins, ideas and reviews, job shadowing nominations, meal subsidy use, and documents you upload.
Sign-in records: when you sign in, from which IP address and browser. These are kept for 180 days.

- Travel administration (Travel Desk)
- Business continuity and emergency response (ART)
- Facility reservations (CGS Reserve)
- Event participation and attendance (Check-in)
- Ideation platform (Brainwave)
- Job shadowing programs
- Meal subsidy administration
- Keeping your account secure, and sending you notifications by email and SMS
Business continuity information, such as whether you are safe, affected or able to work, is used only for business continuity and emergency response. It is not used for performance management or employment decisions.
Who can see it
Each module shows your information only to the people who need it to run that module, such as its administrators, assigned reviewers and, where relevant, your managers.
The app is hosted on an Elevance Health sanctioned AWS cloud environment and MongoDB Atlas. Text messages are delivered through SMS service providers, and travel requests use flight-information providers.
When you submit an idea in Brainwave, its text is sent to the Spark API to check for similar ideas and to suggest review scores.
How long it is kept
Records are kept for five (5) years from your separation date.
Your requests
To ask for a copy of your information, or to ask for it to be corrected or deleted, raise a concern about its accuracy, or dispute a record, email CarelonPHBITSDevTeam@carelon.com.
Information that comes from Workday is corrected in Workday. Your HR partner can help with that.
